Glossary

This glossary defines the psychosocial safety, work health and safety, and artificial intelligence terms used across the Gentia website. Gentia is an end-to-end psychosocial safety management platform operated by balance2life Pty Ltd, an Australian company. Definitions are written in plain English and each one stands on its own.

A

AI agents

AI agents are purpose-built assistants that carry out work inside the Gentia platform. Unlike a general chatbot, each agent is built for a specific job and operates within a specific application — for example applying the hierarchy of controls to a particular risk in a particular jurisdiction, designing worker consultation, or coaching a manager through a situation. Gentia's agents fall into three families: agents that manage psychosocial risk, agents that coach and develop managers and leaders, and agents that support learning and build awareness. Agents do work; Insight Navigators help you interrogate findings.

Artificial intelligence

Artificial intelligence is software that performs tasks normally requiring human judgment, such as recognising patterns, interpreting language, or drawing conclusions from incomplete information. It is a broad category rather than a single technology. In Gentia, artificial intelligence is used to connect scattered organisational information, identify where psychosocial risk is building, and explain the reasoning behind each conclusion.

Attributes

Attributes are the individual characteristics that Gentia's specialists have defined and labelled to describe psychosocial risk. Gentia's dataset contains more than 10,000 expert-labelled risk attributes, mapped to ISO 45003 and Australian work health and safety regulations. They are what allow the system to recognise a specific condition — such as unclear delegation under sustained change — rather than only a broad category like “poor role clarity”.

B

Business intelligence

Business intelligence is the practice of collecting and analysing an organisation's operational data to support decisions, usually presented through dashboards and reports. It generally tells you what has already happened. Workforce intelligence, as Gentia uses the term, extends this to people data and adds reasoning about why something is happening and what to do about it.

Context map

See workforce fingerprint. “Context map” and “organisational context graph” are earlier terms for the same thing. Gentia now uses “workforce fingerprint”.

Controls and control effectiveness

A control is an action taken to eliminate or reduce a risk. Control effectiveness is the evidence of whether that action actually worked. In psychosocial safety, controls include changes to how work is designed, allocated and supervised — not only training or policy. Gentia records what control was applied, when, by whom, and whether the exposure rating subsequently moved, so effectiveness is measured rather than assumed.

D

Data Labelling Engine

The Data Labelling Engine is the set of proprietary pipelines Gentia uses to turn an organisation's raw material — policies, position descriptions, structures, incident data, workforce reporting — into a structured workforce fingerprint. Every input is time-stamped and traceable to its source, routine inputs are verified by rule, and specialists validate every material finding before it is relied on.

Data sovereignty

Data sovereignty means that data is subject to the laws of the country in which it is stored. Gentia stores client data in accredited Australian data centres, so that data remains under Australian law and is not transferred offshore.

Discovery Brief

The Discovery Brief is Gentia's entry offer. It requires a short conversation plus whatever information the organisation already holds, and returns a brief on what matters in that organisation, the reasoning behind it, and what it could be costing. There is nothing to prepare and no survey to run.

Domain-specific AI

Domain-specific AI is artificial intelligence built and trained for one field rather than for general use. A general-purpose model tells you what is generally true about a subject; a domain-specific model reasons using expert knowledge of that subject and the context of the organisation asking. Gentia applies domain-specific AI to two areas in particular: psychosocial risk, and turnover projection.

E

Evidence pack

An evidence pack is a compiled record showing what an organisation found, what it did about it, and what happened as a result — assembled and mapped to the relevant regulatory obligations. It is what an organisation would put in front of a regulator, a board, or a joint venture partner to demonstrate that its duties have been met.

Explainable AI

Explainable AI is artificial intelligence that can show how it reached a conclusion, rather than producing an answer that has to be taken on trust. In Gentia, every finding traces back to the evidence it came from, and where the system is inferring rather than observing, it says so and states what would confirm it.

Expert in the loop

Expert in the loop means a qualified human specialist reviews AI output before it is relied upon. In Gentia, every material finding is signed off by a psychosocial safety specialist. AI increases speed, specificity and consistency; it does not replace expert judgment.

Exposure rating

An exposure rating is an assessment of how strongly a team or group is exposed to a particular psychosocial hazard, expressed as a band rather than a precise score. Ratings are applied using consistent rules, are traceable to the evidence behind them, and are re-rated as new evidence arrives.

G

Generative AI

Generative AI is artificial intelligence that produces new content — text, images, code or summaries — rather than only classifying or predicting. It is the technology behind tools like ChatGPT. Generative AI is one component of Gentia rather than the whole system, and it always operates over the organisation's own evidence rather than generating claims independently.

H

Hierarchy of controls

The hierarchy of controls is the order of preference for managing a risk, from most to least effective: eliminate the hazard, substitute it, apply engineering controls, apply administrative controls, and lastly rely on personal protective equipment. Applied to psychosocial risk, this means changing how work is designed and allocated is a stronger control than adding training or a policy. Australian work health and safety law requires duty holders to work down this hierarchy rather than starting at the bottom.

I

Insight Navigators

Insight Navigators are AI guides that sit alongside Gentia's reports and help users question their own findings in plain English, with the reasoning shown. They act as coaches, challengers, synthesis partners, simulators and thinking partners, and they will say when a conclusion is not supported by the evidence available. The human stays in the lead. Insight Navigators help you interrogate findings; AI agents do work.

Insights First AI

Insights First AI is the term Gentia previously used to describe its architecture: an approach in which the organisation's own evidence comes first and the model reasons across it, rather than a general model being applied to a problem it has no context for. The term is retained here for reference and is no longer used in Gentia's public materials, which describe the same idea in plain English.

ISO 45003

ISO 45003 is the international standard providing guidance on managing psychosocial risk within an occupational health and safety management system. It sets out how organisations should identify psychosocial hazards, assess the risks they create, and implement and review controls. Gentia's expert dataset is mapped to ISO 45003 alongside Australian work health and safety law.

L

Large language models

Large language models are AI systems trained on very large volumes of text to understand and produce human language. They are what allow a person to ask a question in ordinary words and receive a coherent answer. On their own they have no knowledge of a specific organisation, which is why Gentia combines them with an expert dataset and a model of the organisation itself.

M

Machine learning

Machine learning is a form of artificial intelligence in which a system improves its performance by finding patterns in data rather than following rules written by hand. It is what allows patterns to be recognised across large volumes of organisational information that no person could hold in view at once.

Maturity pathway

The maturity pathway describes the four stages organisations move through in managing psychosocial safety: see what's there, hear from your people, prove it's controlled, and get ahead of it. Most organisations are at the first stage. Each stage builds on the evidence produced by the one before it.

O

Ontology

An ontology is a structured map of the concepts in a field and how they relate to one another. Gentia's ontology defines psychosocial hazards, the conditions that create them, the evidence that shows them and the controls that address them, so that findings can be connected and reasoned across consistently rather than treated as isolated observations.

P

Personal data sources

Personal data sources are the systems and records that hold information relating to identifiable individuals, such as HR records, rostering systems and survey responses. In Gentia, personal details are redacted before any AI processing, and individual-level data is not stored in identifiable form.

PII redaction

PII redaction is the removal of personally identifiable information — names, email addresses, phone numbers and similar details — from data before it is processed. Gentia redacts this information before any AI processing takes place, so analysis is carried out on the pattern of work rather than on identified individuals.

Pre-change simulation

Pre-change simulation describes what a proposed change would do to psychosocial exposure before the change is made. Gentia holds the current exposure profile for every team, takes a proposed change described in the same terms, and reports which teams would move into a higher exposure band under the same rules used to rate exposure today. It is an exposure projection against a described future state, re-rated as evidence arrives — not a prediction about any individual.

Psychosocial hazards

Psychosocial hazards are aspects of work that can cause psychological or physical harm. The Safe Work Australia Model Code of Practice identifies categories including high or low job demands, low job control, poor support, lack of role clarity, poor organisational change management, inadequate reward and recognition, poor organisational justice, traumatic events, remote or isolated work, poor physical environment, violence and aggression, bullying, harassment, and conflict or poor workplace relationships.

Psychosocial risk

Psychosocial risk is the likelihood that a psychosocial hazard will cause harm, and how serious that harm would be. The hazard is the thing in the work; the risk is what it is likely to do. Gentia uses “psychosocial risk” when pointing at a specific risk, and “psychosocial safety” when describing the field of practice.

Psychosocial safety

Psychosocial safety is the practice of identifying and managing the aspects of work that affect people's psychological health — how work is designed, allocated, supervised and changed. In Australia, managing psychosocial risk is a legal duty under work health and safety law in all eight jurisdictions, in the same way as managing physical safety. It is concerned with the conditions of the work rather than the resilience of the individual.

R

Relationship signals

Relationship signals are indicators of how people and teams interact — patterns of supervision, collaboration, span of control, and the connections between roles and functions. They help explain why a risk is concentrated in a particular part of an organisation rather than spread evenly across it.

Risk register

A risk register is the formal record of identified risks, their ratings, the controls applied to them, who owns them, and when they are next due for review. It is a core piece of evidence that an organisation is meeting its work health and safety duties. Gentia maintains the register continuously from the organisation's own data rather than rebuilding it by hand for each review.

Risk signals

Risk signals are individual pieces of information that suggest psychosocial risk may be building — patterns in rostering, absence, turnover, incident reports, workload, consultation responses and similar sources. On their own they usually mean very little. Their value comes from being read together, against the context of the organisation and what is known about psychosocial safety.

Roadmap

A Psychosocial Risk Roadmap is Gentia's starting engagement: a bespoke assessment of where psychosocial risk sits across an organisation, mapped against its obligations in every Australian jurisdiction it operates in, and delivered with a prioritised action plan and the tools to carry it out. It is delivered live inside the Gentia platform rather than as a static report, and it is how an organisation's workforce fingerprint is first built.

S

Safe Work Australia Model Code of Practice

The Model Code of Practice for Managing Psychosocial Hazards at Work is guidance published by Safe Work Australia setting out how organisations should identify psychosocial hazards, assess and control the risks they create, and review those controls. It has been adopted, with variations, across Australian jurisdictions. Gentia's expert dataset covers every hazard category in the Model Code.

T

Turnover projection

Turnover projection is the identification of where people are most likely to leave an organisation and why, traced back to the working conditions behind it. It is a projection based on conditions and patterns present in the organisation's own evidence, not a prediction about any named individual.

W

WHS duties

Work health and safety duties are the legal obligations organisations hold to ensure, so far as is reasonably practicable, the health and safety of workers. Health includes psychological health. In practice, duty holders must identify hazards, assess and control the risks, consult workers about matters affecting their health and safety, and review whether the controls are working. The duty cannot be transferred to a supplier or a software platform.

Workforce fingerprint

A workforce fingerprint is a live model of an organisation, built from information it already holds — structures, roles, work design, policies, controls, events and what people tell you — connected as a single picture. Every input is time-stamped and traceable to its source. It is what allows Gentia to show where people-related risk is building, what is driving it, and the action most likely to change the outcome. The fingerprint becomes more complete and more precise with every piece of work. It was previously referred to as a context map or an organisational context graph.

Workforce intelligence

Workforce intelligence is the practice of connecting an organisation's people and business information into a single model so that leaders can answer questions about their workforce and act on the answers. It differs from workforce analytics in that it is concerned with reasoning and action rather than reporting alone.
